MediaOnion offers conference administrators, program planning committees and conference logistics committees a suite of online tools to help manage the numerous tasks required to plan and run efficient meetings, conferences and other events.

The standard package includes: Basic Event Website, Online and Onsite Registration*, Call for Papers/Proposals, Peer Review, Schedule creation, Online and printable programs, badges, and more.

Increase Productivity:
From the initial planning stages through post-conference reporting, MediaOnion provides a tested workflow that helps to improve productivity for all conference staff. Administrators can modify user permissions, providing them access to the various administrative tools as necessary. Permissions can be modified at any time through the planning process as roles change and committees are formed to manage various tasks. maintains all the conference information in a single location, making it accessible online at any time, from any location.

No longer will you have a dozen spreadsheets being updated and emailed to colleagues for review, or need to spend the first 15 minutes of a meeting bringing everyone up-to-date. By providing staff and committee members access to the information they are able to monitor the progress and respond immediately to issues as they arise.

 

Improve Communications
Automatic email notifications and confirmations greatly improve the communications process and substantially reduces the amount of emails to track, collate, and respond to.

Encourage pre-conference communications among attendees by adding an optional* attendee facebook that is only available to registered attendees only (*additional cost) . This tool allows attendees to share their photos and area of interests with other conference attendees , jump-starting interaction between attendees long before the event begins. It also serves as valuable tool, long after an event ends by helping attendees recall names and conversations from the event as well as find contact information for other attendees.

 

Improve Accuracy and Quality of Information
When you make changes to information (speaker names, session titles, room changes, etc.) these changes are reflected in any area that information is used, eliminating the need to make the changes manually throughout several documents. MediaOnion provides several templates to choose from to print your final program, event schedules, name badges and attendees lists directly from the web application, guaranteeing that the latest changes will make it to the final documents. Alternatively, data can be exported for you to work with locally.

 

Reduce Costs and Streamline Planning with Accurate Reporting
Accurate data capture and reporting can help you reduce costs and greatly improve attendee's conference experience.
  • If you find that a high percentage of your attendees have an interest in a topic that will be presented at your event but you have scheduled that presentation in a small room, you can easily move that presentation to a larger room, avoiding dealing with such a problem on-site.
  • Review your on-site check-in data. How many people checked in each day? What were the peak check-in periods? How many registered on-site? Would a registration kiosk have improved the service?
  • Was your staffing sufficient to provide high quality service? Would 3 registration staff worked nicely, instead of paying for an additional staff person to help at the desk? Should you open registration earlier for your next event to avoid long lines?
  • Were your attendee estimates too high or too low? Did you book too large of a hotel room block and get hit with high penalties for the unused rooms? By watching attendance trends over several conferences, you may be able to make more accurately estimate the number of attendees and then plan more accordingly for food and housing or on the number of attendee packets that need to be printed.
